The Global Rotation Tool (GRT) is a comprehensive system designed to monitor and manage the rotation of Assurance executives across client engagements, ensuring adherence to the firm’s Independence policies concerning regulatory rotation (RR) and long association (LA). This tool has superseded all previous partner rotation tools, such as the US-based PROT (Partner Rotation Tool) that operated on Lotus Notes and has the added capability of formally tracking service periods related to long association, which were not previously monitored in a structured manner.
The GRT team, a newly established team within the Quality Network, is tasked with the ongoing maintenance, monitoring and updating of the GRT. Updating GRT is done by integrating data from various sources, including GIS (Global Independence System), Process for Acceptance of Clients and Engagements (PACE), Mercury (the firm’s global finance system), PPMD (Partner, Principal, Managing Director) approval logs, and other input from engagement team members. This integration is crucial for the real-time monitoring and compliance with partner rotation and long association policies.
The primary stakeholders served by the GRT team are the members of the engagement teams and the Assurance leadership. These key clients rely on the GRT for accurate and up-to-date information regarding the rotation status of Assurance executives, which is required in their roles.
The opportunity
As a GRT Supervising Associate, your role involves overseeing the management and monitoring of the GRT data, determining that Independence policies for RR and LA are appropriately reflected in the US GRT. Your duties also include the regular update and monitoring of GRT engagement team data in accordance with Assurance pre-approval protocols.
In this position, you will collaborate closely with the entire GRT team and engage with various stakeholders, such as Engagement team members, which include Partners, Principals, and Managing Directors (PPMDs), as well as the Quality Network, Independence, and the Assurance Operations Accelerator (AOA) team based in India and Poland. Additionally, you may need to coordinate with GRT administrators outside the US, particularly within the Americas region.
Your responsibilities also encompass involvement in the strategic planning, execution, and rollout of specific GRT procedures, as well as the implementation and execution of GRT controls to maintain system integrity and compliance.
Your key responsibilities
+ Applying analytical skills to identify and solve problems of moderate complexity.
+ Daily operation in the GRT and Excel, requiring advanced Excel skills, such as X-lookup and other formulas.
+ Conducting research to update GRT data from PACE, Mercury and GIS, with an understanding of restrictions and their implications on GRT.
+ Collaborating with engagement teams to assist in understanding GRT and the basic requirements of the independence and assurance policies impacting GRT and updating GRT data, ensuring timely updates and responses.
+ The role involves managing GRT projects by evaluating data, technological resources, and company policies to propose improvements to GRT processes and GRT functionality to the Americas Administrator. It includes supporting and testing GRT upgrades during user acceptance testing before deployment. Additionally, the role requires the development and upkeep of detailed project documentation, such as project plans, timelines, and status reports, to ensure effective project management and communication.
+ Liaising with GRT Subject Matter Resources (SMRs), Global IT, and country administrators.
+ Generating and analyzing reports from GRT and Power BI to monitor the accuracy of GRT data and compliance issues, summarizing findings.
+ Updating GRT internal control documentation and summarizing results of monthly/quarterly control procedures.
+ Coordinating with offshore team members (e.g., AOA and GDS) on data entry and monitoring projects.
+ Being aware that working hours and flexibility may be constrained during peak times or deadlines, with the possibility of extended hours to meet project needs.
Skills and attributes for success
+ GIS Proficiency: Familiarity with GIS and an expectation to gain an understanding of client and entity hierarchies, as well as associated restrictions and the impact on GRT.
